Template notice. The wording below is a starting draft prepared for the Apex website build. Have your solicitor or data protection adviser review and adapt it before publishing — in particular the retention periods, lawful bases and the ICO registration reference.
Privacy notice
APEX (UK) LIMITED, of 4th Floor, Kalam House, 252–262 Romford Road, London E7 9HZ, is the data controller for personal data collected through this website and in the course of our client and recruitment work.
What we collect. Enquiry details you submit (name, company, work email, telephone number, and the description of your requirement); candidate details supplied to our recruitment desk (CV, work history, right-to-work evidence, references); and technical data such as IP address and browser type where analytics are enabled.
Why we use it. To respond to enquiries and provide the services requested (performance of a contract or steps prior to it); to match candidates to roles (legitimate interests, and consent where required); to meet legal obligations including right-to-work and tax record keeping; and to improve the website (legitimate interests).
Who we share it with. Named client organisations where you have asked us to represent you; our hosting, email and applicant-tracking providers acting as processors under written terms; and regulators or professional advisers where the law requires it. We do not sell personal data.
How long we keep it. Enquiry records for 24 months from last contact; candidate records for 24 months from last contact unless you ask us to keep them longer; contract and financial records for six years as required by UK tax law.
Your rights. You may request access, rectification, erasure, restriction or portability of your personal data, and object to processing based on legitimate interests. Write to us at the registered office or by email, and we will respond within one month. You may also complain to the Information Commissioner’s Office at ico.org.uk.
Cookie policy
This website sets no advertising or cross-site tracking cookies. It stores one item in your browser’s local storage, apex-theme, which remembers whether you chose the light or dark colour theme. It contains no personal data, is never transmitted to us, and clearing your browser data removes it.
If analytics or marketing tags are added later, they will be loaded only after you give consent through a cookie banner, and this section will be updated to list each cookie, its purpose and its lifetime.
Terms of business
These terms apply to consultancy, development, testing, marketing and recruitment services supplied by APEX (UK) LIMITED unless a signed statement of work or framework agreement says otherwise, in which case that document takes precedence.
- Engagement. Work begins on acceptance of a written statement of work setting out scope, deliverables, rates and duration.
- Charges. Time-and-materials engagements are invoiced monthly in arrears; fixed-scope engagements are invoiced against agreed milestones. Payment terms are 30 days from invoice date unless agreed otherwise in writing.
- Intellectual property. On payment of the relevant invoices, all deliverables created specifically for the client — source code, documentation, prompts and evaluation sets — transfer to the client. Pre-existing tools and libraries remain ours, licensed to the client perpetually for use with the deliverables.
- Confidentiality. Each party keeps the other’s confidential information in confidence during the engagement and for three years afterwards.
- Data protection. Where we process personal data on the client’s behalf we do so as processor under a written data processing agreement.
- Termination. Either party may terminate a rolling engagement on 30 days’ written notice. Work completed up to the termination date remains payable.
- Recruitment fees. Permanent placement fees are a percentage of first-year gross salary, invoiced on the candidate’s start date, with a sliding rebate applying if employment ends within 12 weeks.
- Governing law. These terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
Modern slavery statement
APEX (UK) LIMITED does not tolerate slavery, servitude, forced or compulsory labour or human trafficking in any part of our business or our supply chain.
Our exposure is concentrated in recruitment and contingent staffing. We verify the right to work of every worker we place, pay all workers directly and in full without recruitment fees charged to the worker, contract only with suppliers who confirm equivalent standards, and provide a confidential route for any worker or candidate to raise a concern with a director.
This statement is reviewed annually and approved by the board.
